Les missions du poste
Le coordinateur de projet que nous recherchons sera en soutien de 5 Directeurs du pôle Recherche et Développement (4 basés à Libourne et 1 au Royaume-Uni).
Ses missions principales seront les suivantes :
Gestion des Contrats : CDA (Confidential Disclosure Agreement- accord de confidentialité), des prestations avec des CRO (Contract Reasearch Organization- prestataires), des contrats de recherche avec des académiques, des contrats de consulting, etc...
- Initier et suivre les Docusign pour les documents internes et externes.
- Assurer le suivi des Contrats (CDA, services...) avec le service juridique.
- Implémenter les Work Orders (gestion de Cbuy, Docusign).
- Effectuer, suivre les commandes jusqu'à la gestion des factures et des budgets.
Gestion de projets :
- Support Smart Sheet pour les équipes projets.
- Suivi budgétaire simple mensuel.
- R&D Dashboards (KPI's etc).
- Gestion de la base de données.
- Coordination administrative de projets pour le périmètre concerné.
Gestion des voyages et évènements :
- Organiser des voyages et déplacements.
- Coordonner les évènements internes et externes.
- Créer des supports de présentations, de communications et documents divers.
- Planifier et organiser des visites, événements, avec les Key Opinion Leaders /experts/consultants, partenaires externes.

Your missions :
The Project Coordinator we are looking for will support 5 Directors within the Research & Development division (4 based in Libourne and 1 in the United Kingdom).
The main responsibilities will include :
Contract Management : CDA (Confidential Disclosure Agreement), service agreements with CROs (Contract Research Organizations), research contracts with academic institutions, consulting contracts, etc.
- Initiate and follow up on Docusign for internal and external documents.
- Ensure contract follow-up (CDA, services...) in collaboration with the Legal department.
- Implement Work Orders (Cbuy management, Docusign).
- Process and monitor purchase orders through to invoice and budget management.
Project Management :
- Provide Smart Sheet support for project teams.
- Simple monthly budget tracking.
- R&D Dashboards (KPIs, etc.).
- Database management.
- Administrative coordination of projects within the relevant scope.
Travel and Event Management :
- Organize travel and business trips.
- Coordinate internal and external events.
- Create presentation materials, communications, and various documents.
- Plan and organize visits and events with Key Opinion Leaders / experts / consultants / external partners.
Le profil recherché
Une expérience confirmée en tant qu'assistante de direction ou gestionnaire administratif constitue un atout pour ce poste dans un environnement international et multiculturel.
La maitrise du Français et de l'anglais courant est indispensable.
Vous devez démontrer une :
- Capacité à prioriser et piloter votre activité pour respecter les délais et les engagements,
- Capacité à analyser et synthétiser les points importants d'un message/ dossier et en comprendre les impacts.
- Bonnes compétences rédactionnelles.
- Très bonne maîtrise de l'ensemble des outils bureautiques Microsoft Office.
- Savoir interagir avec l'équipe R&D et travailler en transverse avec différents services : juridiques, compta, achats et finance.
- Aisance en milieu international et multiculturel.

Profile :
Proven experience as an executive assistant or administrative manager is a strong asset for this role in an international and multicultural environment.
Fluency in both French and English is essential.
You must demonstrate :
- Ability to prioritize and manage your activities to meet deadlines and commitments.
- Ability to analyse and synthesize key points from messages/files and understand their implications.
- Strong writing skills.
- Excellent command of Microsoft Office tools.
- Ability to interact with the R&D team and work cross-functionally with various departments : Legal, Accounting, Purchasing, and Finance.
- Ease in international and multicultural settings.
