We have an exciting opportunity for a General Manager Assistant & ROC Team Coordinator to join Norgine.

Scope of Role;

- Provide assistance to the GM France & BeNeLux and the broader Leadership team, taking responsibility for administration and allocated tasks.
- Provide a high level of service and be a key interface between the function and its internal / external customers.
- Responsible for specific activities for example: (but not limited to) diary management, meeting organisation, production of meeting agendas and minutes, filing, E1, receipting PO's.

KEY RESPONSIBILITIES :

- Provide efficient assistance to ROC (Regional Operating Company) Leadership Team including support with meeting logistics / communication, PO process, contract database, agenda and minutes management, catering requirements

- Diary management for GM

- Manage Purchase Orders and Receipts for the Leadership Team related activities

- Assist with functional meetings and update minutes and actions

- Process and administration of documentation that requires General Manager signature

- Manage transport (with Egencia and G7) and logistics where required for GM and team meetings.

- Ensure a positive image of the ROC through supporting communications and interactions initiatives through MiHub, taking leadership for the updating and maintenance of the internal LT SharePoint sites, ensuring that information is kept up to date.

- Ensure support to the Brand Lead Marketing :

> POs and administrative follow-up

> Send contracts for signature and archive it in Agiloft

> Participation in the preparation of regulatory files

> Follow-up allocations to DH / Congress / GE offices (with STACI on the management of promotional material - Stock and destruction)

> Declaration of transparency links each semester

- Be a referent for Amsterdam and Leuven administrative supports.

TECHNICAL SKILL & EXPERIENCE :

- Holder of a two-year postsecondary degree in Executive Assistance / Business Administration
- Proficient in Microsoft Office, including competency in Outlook, Word, PowerPoint and Excel
- Experience of working with E1 type systems (POs, invoices etc) SharePoint and Veeva systems an advantage
- Demonstrates agility, flexibility and ability to work with multiple priorities, occasionally to tight deadlines
- Makes day to day decisions individually or collaboratively within immediate work area, ensuring peers understand decisions taken
- Sets high personal standards and has a desire for success
- Proactive with a focused and structured approach to work.
- Adaptable and quick to adjust to new situations.
- Genuine team player with a supportive and helpful approach to all internal and external personnel
